Who we are
HostLedger is a record-keeping tool for short-term rental hosts. It is run from Ontario, Canada. For privacy questions or requests, email hostledger@soloaisle.com
What we collect
- Your name, email address and password. The password is stored scrambled, so we cannot read it.
- What you type in: properties (name, province or state, city, registration number, days rented and used personally), income, expenses, trips, reminders and notes.
- Receipt pictures that you choose to save. They are shrunk and kept in your private account only.
- Basic sign-in records such as session and device details kept by the sign-in service.
We do not collect your bank logins, card numbers (Stripe handles those if you pay) or Social Insurance / Social Security numbers. Please do not type them into notes. Please avoid full street addresses in property names if you prefer.
How we use it
Only to run the app for you: sign you in, save your entries and show your totals and reports. We do not sell your information. We do not show ads. We do not share your entries with other users.
Who else handles it
- Neon stores your account and entries in a database. The servers are in the United States, so your data is stored outside Canada.
- Stripe processes payments for paid plans. When you subscribe, you enter your card details on Stripe's own page. We never see or store your card number. Stripe keeps your email, billing details and payment history, and tells us which plan you have. Stripe may store data in the United States and other countries.
- Cloudflare delivers the website to your phone and may keep standard server logs such as IP address.
- The sign-in service may send you codes or confirmation emails through a third-party email provider. Your sign-in session is kept in your browser's storage.
Each account can only see its own entries. AI is not used on your data today. If we add it later, we will update this page first.
How long we keep it
We keep your records until you delete them or delete your account. We do not delete anything on a timer. Tax authorities expect you to keep records for about six years in Canada, so please keep your own copies. HostLedger reminds you to download a backup zip (your spreadsheets, receipt pictures and records) every few months and at tax time.
Your choices
You can change your name or password, download your spreadsheet from the Report page, and delete your account from More, then Account. That deletes all your records at once. If removing the sign-in itself does not work automatically, email us and we will remove it. If you want something corrected or deleted that you cannot do yourself, email us and we will do it. Please keep your own copy of important records. This app is not a replacement for the records a tax authority may ask you to keep, and you should keep receipts and logbooks for at least six years.
Keeping it safe
Connections are encrypted. No system is perfect, so please use a strong password. If we learn of a problem that affects your information, we will tell you.
